JOB DESCRIPTION – HIVE Information Officer

1.         GENERAL

  1. Responsible to the Garrison/Station Commander for the successful and efficient operation of the HIVE Information Centre, reporting to the appointed Regional Manager and OIC HIVE in the first instant.

 

  1. HIVE Information Centres provide an important service within the context of the overall welfare provision for British Forces and their dependants.  The HIVE is to support all sections of the military community, which includes serving personnel, single, married and their families, dependants as well as civilians employed by the Service.

HIVE Information Centres support the Chain of Command and Tri-Service Communities through the provision of up to date and relevant information.

2.         MAIN DUTIES

  1. Responsible for setting up or maintaining the HIVE Information Centre including the Information filing system and Information displays.  Core Information will be provided on a wide variety of topics through the HIVE Support Team.  It is the HIVE Information Officer’s responsibility to collate and update Core and local Information relevant to their community.

 

  1. Preparation and regular update of welcome packs for single persons and families, this also includes all HIVE notice boards, local HIVE Web Sites “What’s on” and “Local Information” pages.
  1. Maintain the HIVE Information database, produced documents and regularly use the Internet.

 

  1. Responsible for the administration of HIVE expenses incurred by the HIVE and the handling of public and non-public funds.
  1. Responsible for all equipment in the HIVE, keeping an up to date inventory of all equipment.

 

  1. Responsible for the Publicity of their local HIVE and is required to give presentations about what their HIVE Information Centre offers to all interested parties.
  1. Expected to research and publicise activities and events of interest to the Community including the services offered by the HIVE using all forms of media.

 

  1. To forecast, plan, advertise and set up a mobile/satellite HIVE once per month within the Station.
  1. Required to read, understand and sign the confidentiality code as contained in the HIVE Europe Manual of Working Practices.

 

  1. Required to maintain close links with the Regional Manager and OIC HIVE.  The Information Officer will be required to liaise with all local Welfare Agency representatives in Station to gain knowledge so that correct referral can be given.
  1. Required to network with other HIVEs on a daily basis.

 

  1. The Information Officer will have access to a comprehensive training program in line with an individuals training plan included in the Investors in People Appraisal Scheme.  Training venues are likely to be Church House in Lubbecke and JHQ.  There is a requirement for overnight stays.
  1. To ensure administrative request updates and deadlines from HIVE Support Team are met.

 

  1. To meet regularly with HIVE Regional Manager to discuss organisational objectives.

3.         OTHER DUTIES:

a.         On request of the employer, he/she must attend courses which are suitable to improve his/her professional skills.

b.         Is required to deputise for other personnel during their absence as directed by the employer.

c.         Carries out any other reasonable duties, which are within the scope of the employer’s right of directive.

 

4.         DRIVING OF DUTY VEHICLES

Must occasionally drive duty vehicles, provided he/she holds the necessary driving licence and FMT 600.

 

 

5. OVERTIME/WORK ON SUNDAYS AND/OR PUBLIC HOLIDAY:

Not required.

6. SHIFT WORK/ROTATING SHIFT WORK

Regular rotating shift work is a feature of the employment.

7. MEDICAL:

A medical examination is not a prerequisite for this employment.

8. REQUIRED PROFESSIONAL QUALIFICATIONS/EXPERIENCE:

Essential:

  • Professional qualifications/experience:

 

Current UK driving licence and ability to travel
Competent in using the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

Other Competences

Experience in handling information (research, compiled, disseminate and stored information)

Able to work as part of a team.

Working knowledge of Service life. 

Experience in customer service.

Desirable:

ECDL

Understand the role HIVE plays within the Service community.

 

9. HEALTH AND SAFETY AT WORK:

Is obliged to take care of his/her own safety and health at his/her place of work within his/her ability and in accordance with the instructions and orders of the employer. Furthermore, he/she is also obliged to take care of the safety and health of persons, who are effected by his/her actions or omissions at work. Within the frame of the aforementioned rules he/she is especially required to use machinery, equipment, tools, working substances, working materials, transport aids and any other working aids as well as protective equipment and the issued personal protective equipment in accordance with the requirements.  He/she is to report any direct and considerable danger to health and safety as well as failures of the safety systems to the employer or the relevant supervisor without any undue delay.

 

 

10. REDEPLOYMENT WITHIN THE GARRISON

The employee may be redeployed to any unit/department within the employing agency (free field) GLSU RLC or temporarily detached to a different employing agency.

 

11. TRAVEL EXPENSES:

The employee is not entitled to payments for miles driven to and from place of work to residence.  If the employee is required to perform his/her duties outside the Naples area he/she will be entitled to travel claims in accordance with the current regulations.

 

 

12. ORGANISATION CHART:

The post holder’s position in the organisation is on the attached Organisation Chart, but may change due to reorganisation or a redeployment and addition to staff.  A change of the organisational chart upon a reorganisation, a redeployment or addition to staff will not require a notice to change of employment contract.  The post holder will be given a new organisation chart upon the change.
